Using Microsoft Word Keyboard Shortcuts Basic Shortcuts Movement Shortcuts Selection Shortcuts One of the ways you can increase your efficiency in working with the computer is to use keyboard shortcuts – these techniques let you continue with fingers on the keyboard, rather than shifting to the picture side of the brain—and use the mouse. Many of the keyboard shortcuts are available in the menu. When you open a menu you can choose a command or you can see the icon for that command on the left side of the menu and the keyboard shortcut on the right side of the list. With this knowledge, you can add new shortcuts whenever you are ready. Basic Shortcuts Many keyboard commands that would be helpful are readily available: For example as seen above Ctrl+ O (hold the Control key down while pressing the letter O) will give us the Open dialog box, just as selecting the Open command with the mouse would do! Here’s a list of some frequently used commands: Ctrl + O = Open dialog box Ctrl + S = Save Ctrl + P = Print dialog box From the Edit Menu Ctrl + C = Copy selected text Ctrl + X = Cut selected text Ctrl + V = Paste the text where the insertion point is located Movement Shortcuts Moving around in the text can also be done with the keyboard. The arrow keys to the right of the letters on the keyboard can move the insertion point up, down, right and left one character at a time. If you add the Control key to the movement key you will move one word to the right and one word to the left and then up and down a paragraph at a time: → = Moves the insertion point one character at a time to the right ← = Moves the insertion point one character at a time to the left ↑ = Moves the insertion point up one line at a time ↓ = Moves the insertion point down one line at a time Ctrl + → = Moves the insertion point one word at a time to the Right Ctrl + ← = Moves the insertion point one word at a time to the left Ctrl + ↑ = Move ups the insertion point one paragraph* at a time Ctrl + ↓ = Moves the insertion point down one paragraph* at a time *If you press enter, you create a paragraph, so sometimes a paragraph is an empty space. Selection Shortcuts Above the arrow keys are the Home and End keys. Home = Moving to the beginning of the line of text End = Moving to the end of the line of text Ctrl + Home = Moves the insertion point to the beginning of the document Ctrl + End = Moves the insertion point to the end of the document These same key combinations can also allow you to select text when you add the SHIFT key to the combination: Shift + " = Select from the initial point to the right Shift + ← = Select from the initial point to the left Shift + ↑ = Select from the initial point to the next line up Shift + ↓ = Select from the initial point to the next line down Shift + End = Selects from the initial point to the end of the line Shift + Home = Selects from the initial point to the beginning of the line
